This Policy applies to personal data collected by Farewell Funerals through our website, over the phone, by WhatsApp or email, in person during the arrangement of funeral or repatriation services, and through any Sales Agreement Form or related documentation signed with us. It applies to the personal data of our clients, next-of-kin, and, where relevant, the deceased.

2.Personal Data We Collect

Depending on the services you engage us for, we may collect:

• Contact details of the client and next-of-kin (name, NRIC/passport number, address, phone number, email);
• Information about the deceased required to arrange the funeral, cremation, burial or repatriation (name, date of birth, date and cause of death, nationality, religion, next-of-kin relationship, and, where relevant, health or medical information relevant to embalming, documentation or insurance claims);
• Payment and billing information;
• Records of your instructions and preferences as recorded in the Sales Agreement Form; and
• Correspondence between you and us, including calls, WhatsApp messages and emails.

3.How We Use Your Personal Data

We collect, use and disclose personal data for purposes including:

• Arranging and delivering the funeral, cremation, burial, wake or repatriation services you have engaged us for;
• Preparing and submitting documentation to government agencies and authorities, including the National Environment Agency (NEA), the Immigration & Checkpoints Authority (ICA), the Ministry of Manpower (MOM), the Ministry of Foreign Affairs (MFA) and relevant foreign embassies or consulates;
• Liaising with third-party vendors engaged to support your arrangement, such as embalmers, florists, caterers, transport providers, religious officiants and overseas funeral homes;
• Processing payments and issuing invoices, receipts and sales agreement documentation;
• Communicating with you about your arrangement, including updates, confirmations and after-service follow-up;
• Complying with our legal and regulatory obligations; and
• Any other purpose for which you have given us consent.

4.Disclosure to Third Parties

We may disclose personal data to third parties strictly as necessary to carry out your instructions, including crematoria and columbaria, florists, caterers, transport and hearse providers, religious officiants, embalmers, overseas funeral homes and receiving agents, insurers, and relevant government agencies and embassies. We only share what is necessary for these parties to perform their part of the arrangement.

Where we refer or link you to a third-party vendor, that vendor's own use of your personal data is governed by their own policies and practices, and not by this Policy. Please refer to our Terms & Conditions for further detail on our relationship with third-party vendors.

5.Data Protection & Security

We take reasonable technical, administrative and physical measures to protect personal data in our possession or control from unauthorised access, collection, use, disclosure, copying, modification or disposal.

6.Retention of Personal Data

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, including any legal, accounting or regulatory requirements, after which it is securely disposed of or anonymised.

7.Withdrawing Consent

You may withdraw your consent for us to collect, use or disclose your personal data at any time, by giving us reasonable notice in writing. Please note that withdrawing consent may affect our ability to continue providing services already engaged, and we will explain the likely consequences before acting on your request.

You may request access to, or correction of, the personal data we hold about you by contacting our Data Protection Officer using the details below. We will respond within a reasonable time, and may charge a reasonable fee for access requests as permitted under the PDPA.
